Real estate CRM · Built for your process

A real estate CRM that knows which leads turn into deals.

Replace the CRM your agents work around with one built for your process. Every lead arrives with its source, gets an owner and is followed to the deal. Leads, listings, deals and tenancies in one system, in Arabic and English.

We’ve built CRMs and property systems before. Yours starts from that work and follows your process.

Sample lead dashboard: new leads per week by source and each source’s share, beside a new lead from Doha that is routed to an agent, booked for a viewing and closed. The data is made up.

Sound familiar?

Many real estate systems were bought for a smaller company.

The business grew. Branches opened, portals multiplied, WhatsApp took over. The software stayed where it was, and people filled the gaps by hand.

  1. 01

Your CRM is the slowest part of the deal

Agents log calls after the fact, or not at all. Managers export to Excel to see anything. The system records work instead of moving it.

  2. 02

    Leads leak between systems

A portal inquiry lands in one inbox, a WhatsApp message on a personal phone, a website form in a third place. Nobody owns the first reply.

  3. 03

    Listings live in spreadsheets

The same unit appears twice at two prices. Availability is whatever the last person remembered to update.

  4. 04

    Marketing cannot prove what worked

Campaign spend is known. Which campaign produced the deal is not, because the lead lost its source somewhere between the form and the contract.

  5. 05

    Branches run their own versions

Each office has its own pipeline stages, its own reports and its own definition of a qualified lead. Group numbers are a monthly reconciliation exercise.

  6. 06

    Switching feels riskier than staying

Ten years of history sit in the old system. Nobody wants to be the person who lost it, or who stopped sales for a week to move it.

Lead capture

Every lead, from every channel, in one place.

Portals, your website, WhatsApp, ads, calls and referrals each land somewhere different today. In the system we build, they arrive in one inbox, keep their source and get an owner before anyone has to ask.

  • Property portalsInquiries pulled in automatically
  • Website & landing pagesForms post straight into the CRM
  • WhatsAppBusiness API threads on the client record
  • Meta & Google lead adsLead forms arrive with the campaign name
  • Phone callsCalls through your phone system logged against the lead
  • Referrals & walk-insAdded from a phone in one short form

One lead inbox

  • Duplicates merged
  • Source and campaign kept
  • Owner assigned by your rules
  • Answered first

A late first reply raises a flag for the agent and their team lead.

  • Traced to the deal

The source stays on the record from inquiry to signed contract, so reports show which deals each channel produced.

  • Conversations stay with the company

WhatsApp and call history sit on the client record, not in an agent’s phone, so it stays when people move on.

Each connection is checked against the channel’s API and terms before we promise it. WhatsApp runs on the official WhatsApp Business Platform.

Featured solution · Real estate CRM replacement

Your business has evolved. Your CRM should too.

A packaged CRM asks your agents to learn someone else’s process. The one we build follows yours, and the records in your current system move across with it.

  • One record per client

Contacts, calls, notes, WhatsApp threads, viewings and offers on one timeline, with duplicates merged on the way in.

  • Leads that cannot go quiet

Every lead keeps its source, gets an owner by your routing rules, and raises a flag when the first reply is late.

  • Pipelines you actually use

Your stages for sales, leasing and off-plan, each with the fields and approvals that stage needs. Nothing more.

  • Properties linked to people

Units, owners, buyers and tenants connected, so a viewing request shows the unit, the owner and the history in one view.

  • Permissions by role and branch

Agents see their book, team leads see their team, management sees the group. Exports and deletions are logged.

  • Reports from live data

Conversion by source, agent and branch, built from the same records your team works in. No monthly spreadsheet merge.

What a replacement includes

  • An assessment of your current CRM, its data and the spreadsheets kept beside it
  • A process map agreed with sales, leasing and management before design starts
  • Field-by-field data mapping, test imports and validation reports you sign off
  • Integrations with the channels you depend on, where their APIs allow it
  • Training by role, and a rollout plan that keeps sales running
  • Support after launch, scoped and agreed in writing

What your team would open every morning.

These screens follow patterns from systems we have delivered to other companies. Those systems belong to our clients. So the screens here run on sample data: made-up names, units and figures set in Doha, Dubai and Riyadh. Yours are designed from your process and tested with your team before anyone writes code.

Why it matters

  1. 1Reply time on the first screenSlow first replies are where leads go cold. So the average sits here, not in a month-end report.
  2. 2Pipeline value by stageEach deal carries its stage and value as it moves. Nobody exports to Excel to find out where the month stands.
  3. 3Follow-ups the deal createsCallbacks, reservation forms and renewal offers appear when a deal reaches the stage that needs them. Nothing depends on memory.

Why it matters

  1. 1Every lead keeps its sourceWebsite, portal, WhatsApp or referral, recorded on arrival. That is how marketing learns which spend produced a deal.
  2. 2An owner on arrivalRouting rules assign by area, language or property type. No lead waits in a shared inbox for someone to claim it.

  2. 2One status per unitAvailable, reserved, leased or sold, changed once and seen by everyone. Nobody reserves a flat another agent has already sold.

Build or buy

When a custom CRM is worth it, and when it isn’t.

A packaged CRM is the right answer for some companies. Here is how the two compare, so you can decide before you talk to anyone.

  • Fit to your process

    Packaged CRM
You adapt to its stages and fields
    Custom-built with Folowise
Stages, fields and approvals follow how you sell and lease
  • Real estate depth

    Packaged CRM
    Generic, or real estate add-ons
    Custom-built with Folowise
Units, owners, tenants, off-plan and leases as core records
  • Arabic and right-to-left

    Packaged CRM
    Often partial or translated
    Custom-built with Folowise
Designed in both languages from the start
  • Integrations

    Packaged CRM
    Whatever the vendor supports
    Custom-built with Folowise
The channels you depend on, where their APIs allow
  • Cost over time

    Packaged CRM
Per-user licenses, for as long as you use it
    Custom-built with Folowise
A build cost, then a support agreement you scope
  • Ownership

    Packaged CRM
    Your data on their platform

Code, infrastructure and access handed to you
  • Time to start

    Packaged CRM

A packaged CRM is probably better if

  • Your team is small and your process is standard
  • You need something running next week
  • You don’t want to own or maintain software

CRM replacement & migration

Switching systems without stopping sales.

The risk in replacing a CRM is rarely the new software. It’s the data, the habits and the week when nobody is sure which system is right. This is how we plan for that.

  1. 01

    Legacy assessment

What the current system holds, how clean it is, and which workarounds people rely on.

  2. 02

    Data mapping

Every field mapped to the new model, with decisions recorded on what to merge, clean or leave behind.

  3. 03

    Import & validation

Test imports with counts and samples checked against the source, signed off by your team.

  4. 04

    Integration planning

Portals, WhatsApp, email, telephony and accounting, each confirmed for feasibility and sequence.

  5. 05

    Parallel verification

Where it makes sense, both systems run side by side for a defined period and the results are compared.

  6. 06

    Training & adoption

Role-based training, quick-reference guides and champions inside each team.

  7. 07

    Controlled rollout

By team, branch or function, so problems surface small.

  8. 08

    Rollback strategy

A written plan for returning to the previous system if a cutover check fails.

  9. 09

    Post-launch support

Daily check-ins in the first weeks, then the support terms you agreed.

We will not promise zero downtime or a perfect migration before we have seen your data. Discovery tells us what is realistic, and we put that in writing.

How customization works

Seven steps, from the first interview to support after launch.

Every company sells, leases and manages property differently, so we scope each project from yours. One module or a group-wide platform, the steps are the same.

  • You don’t need to buy a whole platform. Start with one solution.
  • We can evaluate your existing system before recommending a replacement.
  • Integrations are confirmed for feasibility before they are promised.
  • Demonstrations are arranged around your requirements, not a standard script.
  1. 01

    Discover

Interviews with sales, leasing, operations and management, and a look at the systems and spreadsheets you run today.

  2. 02

    Define

Scope, priorities and what “done” means, agreed in writing before work starts.

  3. 03

    Design

Screens and flows tested with the people who will use them, in Arabic and English.

  4. 04

    Develop

Built in increments you can review, starting with the parts that remove the most manual work.

  5. 05

    Migrate & integrate

Your data mapped and moved, and the channels you depend on connected where their APIs allow.

  6. 06

    Launch

Training by role, a controlled rollout and a team on hand for the first weeks.

  7. 07

    Support

Fixes, improvements and new modules under a support agreement scoped in advance.

Why Folowise

An engineering partner, not a software reseller.

Folowise is a technology and engineering company based in Amman, Jordan. We design, build and ship web platforms, mobile apps and AI systems end to end.

  • Not our first CRM

We’ve shipped CRMs, lead systems and property platforms before. They belong to the companies we built them for, so we don’t name or show them. What we learned shapes yours from the first workshop.

  • We build it

Design, engineering, data migration, integrations and support from one team. We do not resell licenses.

  • You own it

Code, infrastructure and account access are handed to your team at the end of an engagement.

  • Arabic and English from the start

Interfaces, documents and support in both languages, with right-to-left layouts designed in, not added later.

  • Gulf working hours

Our team works on UTC+3 all year: the same clock as Doha and Riyadh, one hour behind Dubai.

  • Scope before code

A written scope and timeline before any build starts. No open-ended retainers.

What we will not show: the real estate systems we have built belong to our clients, so every screen on this page uses sample data. Folowise is not SOC 2 or ISO 27001 certified. If certification is a procurement requirement, tell us early so we can discuss the controls we can evidence.

Primary offer

Real estate CRM replacement

For companies whose current CRM has become the thing everyone works around. We study how your teams actually sell and lease, then build a CRM that matches it: your stages, your fields, your approvals. Your existing data comes with you, mapped and validated before anyone switches.

Details
Typical buyer
Managing directors, sales directors, operations and IT leads
The problem
The current CRM is slow, half-used and impossible to report from, and every attempt to bend it has made it worse.
Typical capabilities
  • Contact and client profiles with a full activity timeline
  • Lead capture with source tracking from every connected channel
  • Assignment rules by area, language, budget or round robin
  • Calls, notes, follow-ups and reminders
  • Deal management for sales, leasing and off-plan
  • Role and branch permissions with an audit log
  • Dashboards and exports built on live data
  • Migration of contacts, deals, activities and documents from the legacy system
Integrations
  • Website and landing page forms
  • WhatsApp Business Platform
  • Property portals with lead or listing APIs
  • Email and calendar (Microsoft 365 or Google Workspace)

Example workflow
  1. Lead arrives from a portal with its source attached
  2. Routing rules assign it to an Arabic-speaking agent in the right area
  3. Agent replies on WhatsApp from inside the CRM
  4. Viewing is booked against a unit from live inventory
  5. Offer, reservation and close are tracked on one record
  6. Management sees the result in the source and agent reports
What we tailor
Pipeline stages, required fields, routing rules, approval steps, permission levels, report definitions, and which legacy data is worth migrating.

Property inventory management

One source of truth for buildings, units, availability, pricing and media.

Details

Residential and commercial inventory in a single structure: projects, buildings, floors and units, each with its owner, status, price history and media. When a unit changes status here, every channel that shows it can change too.

Typical buyer
Listings teams, operations managers, developers’ sales offices
The problem
Units are duplicated across spreadsheets and portals, with prices and availability that disagree.
Typical capabilities
  • Projects, buildings, floors and units
  • Residential and commercial attributes
  • Availability and status lifecycle
  • Price and price-history tracking
  • Photos, floor plans and documents
  • Owner and landlord relationships
  • Duplicate detection
  • Listing sync to website and portals
Integrations
  • Your website
  • Property portals with listing APIs
  • The CRM and pipeline
  • Digital asset storage
Example workflow
  1. Owner signs a listing agreement
  2. Unit is created with specs, media and asking price
  3. Listing is reviewed and approved
  4. Unit is published to the website and portals
  5. Status changes to reserved, and every channel updates
What we tailor

Sales & leasing pipeline

Every deal from first viewing to keys handed over, visible stage by stage.

Details

Separate pipelines for sales and leasing, because they are different businesses. Viewings, offers, negotiations, reservations and closings sit on a board your team updates as they work, with tasks that appear when a deal moves.

Typical buyer
Sales managers, leasing managers, team leads
The problem
Deal status lives in agents’ heads and WhatsApp groups, so forecasts are guesses and stalled deals go unnoticed.
Typical capabilities
  • Configurable pipeline stages per deal type
  • Viewing scheduling and feedback
  • Offers, counter-offers and negotiation notes
  • Reservations and deposits tracking
  • Leasing lifecycle through renewal
  • Stage-triggered tasks and reminders
  • Stalled-deal alerts
Integrations
  • CRM and inventory
  • Calendar
  • Document generation and e-signature providers
  • Accounting software
Example workflow
  1. Viewing booked and confirmed to the client
  2. Agent records feedback after the viewing
  3. Offer logged and sent to the owner
  4. Reservation recorded with deposit status
  5. Contract generated, signed and the deal closed
What we tailor
Stages, probability weights, mandatory fields per stage, approval thresholds and the alerts each role receives.

Multi-branch management

Branches, countries and currencies under one system, with local rules where they differ.

Details

For groups running several offices or markets. Each branch gets its own teams, targets and configuration where it needs them, and management gets one consolidated view without a reconciliation step.

Typical buyer
Group CEOs, regional directors, finance and operations heads
The problem
Every office runs its own process, so group reporting means collecting spreadsheets and arguing about definitions.
Typical capabilities
  • Branch and team structures
  • Country-specific settings and terminology
  • Multi-currency amounts and conversion
  • Branch-level permissions
  • Regional and group dashboards
  • Shared and branch-only inventory
Integrations
  • CRM and pipeline
  • Accounting software per entity
  • Exchange-rate sources
  • BI tools
Example workflow
  1. A Dubai lead asks about a Doha property
  2. The lead is shared with the Doha branch under group rules
  3. Both branches see the deal; only Doha edits it
  4. Commission splits are recorded

Where leads come from, and what happens in the first hour.

Core solution

Lead generation platform

Capture leads from every connected channel, keep their source, and route them as they arrive.

Website forms, paid campaigns and portal inquiries arrive in one place with their campaign data intact. Routing runs immediately, and conversion is reported back by source, so you can see which spend produced deals.

Typical capabilities
  • Website and landing page forms
  • Paid campaign lead capture
  • UTM and campaign attribution
  • Instant routing and notifications
  • Duplicate and spam filtering
  • Source-to-deal conversion reports
Integrations

  • Property portals with lead APIs
  • Website analytics
  • The CRM
Example workflow
  1. Visitor clicks a campaign and submits a form
  2. Lead is created with its campaign and keyword
  3. Routing assigns it and alerts the agent
  4. Agent replies within the agreed time

WhatsApp Business hub

Shared WhatsApp conversations, assigned to agents and saved to the client record.

Details

Many real estate conversations in the region happen on WhatsApp, often on agents’ personal phones. A shared hub on the official WhatsApp Business Platform keeps those conversations on company records, with assignment, templates and history.

Client conversations sit on agents’ personal phones and leave with them.
Typical capabilities
  • Shared team inbox
  • Agent assignment and hand-over
  • Full conversation history on the CRM record
  • Approved message templates
  • Follow-up reminders
  • Opt-in and consent tracking
Integrations
  • WhatsApp Business Platform, through an approved provider
  • The CRM
  • AI assistant, if used
Example workflow
  1. Client messages the company number
  2. Conversation is assigned to the area agent
  3. Agent sends listings and books a viewing
  4. Approved template reminds the client the day before
  5. History stays on the client record if the agent changes
What we tailor
Numbers and teams, assignment rules, templates, working hours and hand-over rules.

Requires a WhatsApp Business Platform account, Meta’s approval of your business and templates, and recipients’ opt-in. We build within those rules.

Marketing automation

Nurture sequences and re-engagement triggered by what each lead actually did.

Details

Many leads are not ready to buy this month. Automation keeps them warm with relevant listings and updates, and brings them back to an agent when they show intent again.

Typical buyer

The problem
Leads that do not convert in the first week are forgotten, along with the money spent to get them.
Typical capabilities
  • Segments by budget, area, property type and stage
  • Follow-up sequences by email, SMS or WhatsApp templates
  • Triggers from behavior and pipeline changes
  • New-listing alerts matched to preferences
  • Re-engagement campaigns
  • Unsubscribe and consent handling
Integrations
  • The CRM
  • Email sending services
  • SMS and WhatsApp providers
  • Website analytics
Example workflow

  3. Lead opens it and views the unit page twice
  4. Agent gets a task to call
  5. Viewing is booked
What we tailor
Segments, triggers, message sequences, frequency caps and channel preferences.

Messaging follows each channel’s consent rules and the privacy law of the markets you operate in.

Reusable layouts for launches and campaigns, filled in by your marketing team and connected to the CRM, so every page captures leads with their campaign data attached.

What we tailor
Templates, sections, brand rules, approval before publishing and tracking setup.

Property portal integrations

Listing exports and lead imports between your system and the portals you use.

Details

Push listings out and pull leads in, with duplicate handling and monitoring so a broken feed is noticed the same day rather than at month end.

Typical buyer
Listings managers, CRM owners, IT

Typical capabilities
  • Listing export feeds
  • Lead import and matching
  • Field mapping per portal
  • Duplicate handling
  • Sync status and error monitoring
  • Alerts when a feed fails
Integrations
  • Portals that provide listing or lead APIs or feeds
  • Property inventory
  • The CRM
Example workflow
  1. Unit is approved in inventory
  2. Feed publishes it to the selected portals
  3. A portal lead arrives and is matched to the unit
  4. Duplicate inquiry from the same buyer is merged
  5. Monitoring flags a rejected listing for correction
What we tailor
Which portals, which listings, field mappings and the monitoring alerts you want.

Each integration depends on the portal offering an API or feed and agreeing to the connection. We confirm feasibility per portal before committing to it.

AI & automation

Assistance for agents and buyers, with a person in the loop.

Core solution

AI real estate assistant

An Arabic and English assistant that qualifies inquiries and hands them to an agent.

Details

Answers first questions at any hour, asks the qualifying ones, suggests matching units from live inventory and books the next step. A person takes over whenever the client asks or the assistant is unsure, with a summary of the conversation.

Typical buyer
Sales directors, customer experience leads
The problem
Inquiries at night and on weekends wait until morning, and agents spend their first call asking the same five questions.
Typical capabilities
  • Arabic and English conversations
  • Qualification questions you define
  • Matching against live inventory
  • Agent hand-off with a conversation summary
  • Viewing and call scheduling
  • Guardrails on what it may and may not say
Integrations
  • Website chat
  • WhatsApp Business Platform
  • Property inventory
  • The CRM and calendars
Example workflow
  1. Visitor asks about 3-bedroom apartments at night

  5. Agent receives the lead and summary in the morning
What we tailor
Questions, tone, languages, which data it may use, escalation rules and topics it must refuse.

AI lead scoring & property matching

Prioritize leads and suggest units, with the reasons shown to the agent.

Details

Ranks leads using signals from your own data, such as budget fit, engagement and response, and suggests units that match stated preferences. Each score shows why, so agents can trust it or ignore it.

Typical buyer
Sales managers, CRM owners
The problem
Agents work leads in the order they arrived, not the order they are likely to buy.
Typical capabilities
  • Lead prioritization from your data
  • Buyer preference profiles
  • Property recommendations
  • Explainable scoring factors
  • Suggested next actions
  • Periodic review of the scoring rules
Integrations
  • The CRM
  • Property inventory
  • Website and messaging activity
Example workflow
  1. New lead arrives with budget and area
  2. Score shows high fit, and why
  3. Three units are suggested
  4. Agent calls this lead first
  5. Outcome feeds the next review of the rules
What we tailor
Signals used, weighting, how scores are explained and who sees them.

Scoring helps agents prioritize; it does not predict sales. Accuracy depends on the quality and volume of your historical data, which we assess first.

AI call intelligence

Call summaries, action items and follow-ups, where recording is permitted.

Details

Transcribes consented calls, summarizes them, extracts the agreed next steps and creates the follow-up tasks. Managers can review calls by outcome rather than listening to all of them.

Typical capabilities
  • Transcription where legally permitted
  • Conversation summaries
  • Action and promise extraction
  • Missed follow-up detection
  • Agent review and correction
  • Management insights by team
Integrations
  • Telephony or call-recording systems

  3. Agent confirms the extracted next steps
  4. Tasks are created with due dates
  5. Manager reviews calls flagged as at risk
What we tailor
Which calls are processed, languages, retention periods, what is extracted and who can listen.

Call recording and transcription require consent and must follow the privacy and telecom rules of each market. We design retention and access with you before anything is recorded.

Rent collection & accounting

FAQ

Questions buyers ask us first.

Can Folowise replace our existing CRM?

Yes. We assess your current CRM, design a replacement around your process, migrate your data and support the switch. Discovery comes first, so the plan is based on your system and data rather than assumptions.

Do we need to buy all the solutions?

No. The 25 solutions are options, not a bundle. You can start with one, often the CRM, and add others when they’re useful.

Can the platform match our current workflows?

That is the reason to build rather than buy. Pipeline stages, fields, approvals, permissions and reports are designed from how your teams work. Where a workflow is itself the problem, we will say so and suggest an alternative.

Can our existing data be migrated?

In most cases, yes. We map your data field by field, run test imports, validate them with your team and agree what to clean or leave behind. How much can be moved depends on what the old system lets us export, which we check during discovery.

Can it connect to our website or WhatsApp?

Usually. Website forms connect directly. WhatsApp works through the official WhatsApp Business Platform, which needs Meta’s approval and your customers’ opt-in. Portals and other tools depend on the APIs they offer, and we confirm each one before promising it.

Can the software support multiple branches?

Yes. Branches, countries, currencies and permissions can be part of the design, with shared or separate data as you choose and group reporting on top.

Do you provide Arabic and English interfaces?

Yes. We design for both languages from the start, including right-to-left layouts, bilingual documents and data that is entered in either language.

Can we request a demonstration?

Yes. Send a request with your business type and priorities. We review it and arrange a walkthrough built around them. There is no self-service trial, because the system is built for each company, and we never show one client’s system to another.

Is the software ready-made or custom-built?

Custom-built, but not from a blank page. We reuse the engineering patterns that held up in systems we delivered before, so you don’t pay to reinvent them. What you receive is designed and built for your company.

How much does a custom real estate CRM cost?

It depends on scope: how many teams and branches, which modules, how much data moves and which channels connect. You get a written scope and price after discovery, before any build starts. Starting with one module, often the CRM, keeps the first phase small.

How long does a CRM replacement take?

It depends on scope and on the state of your data. The timeline is part of the written scope you approve after discovery, and the rollout is planned so sales keep running during the switch.

How do projects begin?

With a conversation, then a discovery phase: interviews, a review of your current systems and data, and a written scope. Build starts only when the scope is agreed.

Do you offer ongoing support?

Yes. After launch we provide fixes, improvements and new modules under a support agreement whose scope and response times are set in advance.

Tell us where the work gets stuck. We’ll help you decide what to build first.

A first conversation costs nothing and commits you to nothing. Bring the system you want to replace, or the problem you want gone.

We reply within one to two business days.
